Responsible for overseeing and managing the daily administrative operations within an organization. This role includes supervising the administrative team, ensuring smooth and efficient office operations, managing resources, and supporting senior leadership with various administrative tasks. The Administrator Manager is expected to ensure that office workflows are streamlined, that team performance is maximized, and that organizational goals are achieved through effective administrative processes.
Key Responsibilities:
Oversee Office Operations:
-Ensure smooth and efficient day-to-day office operations.
-Maintain office supplies, inventory, and equipment, ensuring all resources are available and in good working order.
-Develop and enforce office policies and procedures for smooth functioning.
Budgeting and Financial Administration:
-Assist with budget planning for the administrative department.
-Monitor and manage administrative costs and expenses.
-Process invoices and other financial documentation related to the administrative department.
Coordination of Meetings and Events:
-Schedule and coordinate meetings, appointments, and events for the organization.
-Organize logistics for corporate events, conferences, or staff training.
-Prepare agendas, take meeting minutes, and distribute them to relevant parties.
Support Senior Management:
-Assist senior management in preparing reports, presentations, and other documents.
-Provide administrative support to executives, including calendar management, travel arrangements, and other ad-hoc tasks.
-Act as a point of contact between senior management and internal/external stakeholders.
Communication:
-Serve as the primary point of contact for internal and external communications related to administrative functions.
-Handle incoming calls, correspondence, and inquiries.
Problem-Solving and Continuous Improvement:
Identify inefficiencies in administrative workflows and propose solutions to improve productivity.
Continuously assess and recommend improvements to administrative procedures and systems.
Resolve conflicts or challenges that may arise within the administrative team or in office operations.
Experience : 3+ years of experience in administrative roles, with at least 1-2 years in a leadership or managerial position.
Leadership and team management abilities.
-Proficiency with office software (Microsoft Office Suite, Google Workspace, etc.).
-Strong problem-solving and analytical skills.
-Knowledge of office management systems and procedures.
Working Conditions:
-Full-time, Monday through Friday, Saturday's are half day working till 2:00PM
-Typically office-based, with occasional remote work possible depending on the organization.
